2.1 Information You Provide Directly

Contact form submissions are processed through our website hosting provider, RocketSpark, and delivered to our team via email.

Job Applications and Career Enquiries. If you contact us regarding employment opportunities, we may collect your name, contact details, curriculum vitae (CV), cover letter, work history, qualifications, references, and any other information you choose to include in your application. We encourage applicants not to include sensitive personal information (such as health conditions, religious beliefs, or ethnic origin) unless it is directly relevant to the role.

General Correspondence. If you contact us by email or other means, we collect the information contained in your correspondence, including your name, contact details, and the content of your communication.

2.2 Information Collected Automatically

Website Analytics. We use Google Analytics to collect anonymised and aggregated data about how visitors use our website. This includes information such as pages visited, time spent on pages, referring websites, browser type, device type, operating system, and approximate geographic location (at a city or region level). Server Logs. Our website hosting provider, RocketSpark, automatically collects standard server log information when you visit our website. This may include your IP address, browser type, the pages you visit, and the date and time of your visit. This data is collected for the purposes of maintaining website security, performance, and troubleshooting technical issues.

RocketSpark (Website Hosting and Contact Forms). Our website is hosted by RocketSpark, a New Zealand-based website platform. Google Analytics (Website Analytics). We use Google Analytics to understand how visitors interact with our website. Google Analytics collects data using cookies and processes this information on Google's servers, which may be located outside New Zealand, including in the United States. We do not sell, rent, or trade your personal information to any third party. We will only share your personal information with third parties where it is necessary to provide our services to you, where you have given your consent, or where we are required to do so by law.

5. Overseas Disclosure of Information

Some of the third-party services we use may store or process data on servers located outside New Zealand. In particular, Google Analytics data may be processed on servers in the United States and other countries where Google operates.

Where personal information is disclosed to overseas recipients, we take reasonable steps to ensure that the information is protected by comparable privacy safeguards. Under the Privacy Act 2020, we remain responsible for ensuring that overseas recipients handle your personal information in a manner consistent with New Zealand's Information Privacy Principles.

6. Job Applicants and Career Enquiries

If you apply for a position or express interest in career opportunities with Mid North Farms, we will collect and use the personal information you provide for the purpose of assessing your suitability for current or future roles.

What we collect. This typically includes your name, contact details, CV, cover letter, work history, qualifications, and references.

How we use it. Your information will be reviewed by relevant members of our team for recruitment and selection purposes only.

How long we keep it. If your application is unsuccessful, we may retain your information for up to 12 months in case a suitable role arises, after which it will be securely deleted. If you would prefer that we delete your application data sooner, you may request this at any time by contacting us.

Sharing. We will not share your application information with third parties without your consent, except where required by law.

7. Data Retention

We retain personal information only for as long as it is needed for the purpose for which it was collected, or as required by law. As a general guide:

  • Contact form submissions are retained for as long as necessary to respond to your enquiry and for our reasonable business records, after which they are deleted.

  • Job application data is retained for up to 12 months following the conclusion of a recruitment process, unless you request earlier deletion.

  • Website analytics data is retained in accordance with our Google Analytics configuration and Google's data retention policies.

  • Server logs are retained by our hosting provider in accordance with their standard retention periods for security and operational purposes.

When personal information is no longer required, we take reasonable steps to securely destroy or de-identify it.

8. Data Security

We take reasonable steps to protect your personal information against unauthorised access, loss, misuse, modification, or disclosure. These measures include:

  • using secure, encrypted connections (HTTPS/TLS) across our website;

  • limiting access to personal information to authorised team members who need it for their role;

  • using reputable, professionally managed hosting and service providers;

  • regularly reviewing our data handling practices.

While we take data security seriously, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee the absolute security of your information, but we are committed to taking all reasonable precautions.

9. Your Rights

Under New Zealand's Privacy Act 2020, you have the following rights in relation to your personal information:

Right of Access (Principle 6). You have the right to request access to any personal information we hold about you. We will respond to your request within 20 working days.

Right of Correction (Principle 7). If you believe that any personal information we hold about you is inaccurate, incomplete, or misleading, you have the right to request that we correct it. If we decline to make a correction, we will attach a statement of the correction you requested to the information.

Right to Request Deletion. While the Privacy Act does not provide an explicit right to deletion, we will consider requests to delete personal information where there is no longer a lawful reason for us to retain it.

10. Third Party Data Collection

In accordance with Information Privacy Principle 3A (effective 1 May 2026), where we collect personal information about you from a source other than you directly, we will take reasonable steps to inform you of that collection, the source of the information, and the purposes for which it will be used — unless doing so would be impracticable or would compromise the purpose of the collection.

This may apply in limited circumstances, such as when we receive a referral or recommendation from a third party in connection with a job application or business enquiry.

11. Social Media and LinkedIn

Mid North Farms maintains a presence on LinkedIn. When you interact with us through LinkedIn (for example, by following our page, commenting on our posts, or sending us a message), your interactions are governed by LinkedIn's own privacy policy in addition to this policy.

We may collect and use information that you make publicly available on LinkedIn, or that you provide to us through LinkedIn messages, for the purposes of responding to your enquiry, networking, or recruitment.
